Quadrant 3 is where you delegate tasks that are urgent, but not important. Then once you’ve planned steps two through five, you can consider delegating. But the following four steps can be considered in Quadrant 2: Planning. The first step is obviously urgent and important. Take, for example, a hypothetical project. If you work with a team or have trusted peers, it can also be helpful to get out of your vacuum to have outside insight, but as well to help prioritize for the greater good of a team or project. It will look different to different individuals or for different types of businesses. You should be living your life in the upper quadrants of the matrix – working on Quadrant 1 to get by and spending the rest of your time in Quadrant 2.ĭetermining how and why certain tasks go in one quadrant over another is an entirely personal decision. The key in utilizing this tool to become most efficient and successful is spending as much time as possible in Quadrant 2. The thinking here is that once urgent and important is crossed off the list, you can then delegate to further clean up your to-do list. And many of us would then likely proceed to Quadrant 3, delegating, rather than going in the more natural order. Most of us would probably tend to naturally gravitate toward the top left - the urgent and important. Is everything in this quadrant drastically urgent and important? Or, are some items less urgent than others? When that’s the case, if something can wait a couple of hours, then it falls into Quadrant 2 and we can begin planning and further prioritizing. It’s important here to learn how to be honest about what is truly a first priority and what can fall into other quadrants. For some people, everything is urgent and important, but if everything is a priority, then nothing can be. While Quadrant 1 is intended to include the tasks you complete first, you should actually be focusing on getting out of Quadrant 1. These tasks are neither important, nor urgent.
